General Terms and Conditions

Cancellations and refunds for individually purchased tours:

Before, during, and after the tour:

  • All passengers occupying a seat and/or using the meal service on any tour (including children) pay the full cost of the services.
  • Passengers are responsible for being punctual at the requested departure time and will only be allowed a 10-minute grace period. After this time, WAYRAKUNA EXPEDITIONS E.I.R.L. will not be responsible for any inconveniences that the passenger may experience.
  • Failure to show up will result in the total loss of the contracted service without the right to any refund. “NO SHOW.
    The cancellation or withdrawal of the contracted service(s) during the trip will not be eligible for any refund.
  • WAYRAKUNA EXPEDITIONS E.I.R.L. is not responsible if the customer does not comply with the instructions given by the guide, leaves the group, or, for any reason,n has to abandon the trip in whole or in part and decides to continue on their own.
  • WAYRAKUNA EXPEDITIONS E.I.R.L. reserves the right to make changes, after consulting with the traveler, to the order of excursions or trips due to weather conditions, river levels, arrival or departure times of planes, buses, or trains, or for any other relevant reason, which will ensure the best possible experience for your trip.
  • If the tour is canceled by WAYRAKUNA EXPEDITIONS EIRL due to natural or weather conditions, you will be given an alternative option equivalent to the amount canceled by the customer to be used within the days you have available in Cusco. However, if you do not have these days available, no refund will be given as a result of these interruptions or cancellations beyond our control.
  • Luggage and personal items will always travel under the care and responsibility of each traveler.
    No money will be refunded for unused services such as hotel nights, meals, trips, tours, etc. that have been previously booked and paid for.
  • The tickets, activities, and excursions included in your purchase are not exchangeable for other tickets, activities, tours, or excursions, nor are they transferable to other people.
  • WAYRAKUNA EXPEDITIONS E.I.RL. is not responsible for any accidents or incidents once the tour has ended.

Cancellations, Returns, and Refunds for Tour Packages

1. Reservation Deposit:

To successfully reserve your tour package with us, we require an initial deposit of 70% of the total cost of the package per person. This step is essential for booking tickets and additional services, ensuring availability and detailed planning of your trip.

This deposit can be made using any of the payment methods listed on our website in the “Payment Methods” section at the bottom of the page. 2. Balance Payment:

The remaining 30% balance of your tour must be paid in cash on the first day of your arrival in Cusco in US dollars or Peruvian soles (subject to exchange rate) to the staff assisting you at the office or at your hotel. You can make the payment in cash or via a payment link, or with a debit or credit card, but you will be charged an additional 5% commission for using the system.

3. Airline tickets purchased through us:

We only work with LATAM, as this airline generally has fewer incidents and itinerary changes. We can sell airline tickets through us as long as a 100% deposit for the flight price can be made. Any changes or rescheduling are subject to the airline’s fees and policies. Wayrakuna Expeditions can assist, but is not responsible for making changes. We cannot accept responsibility for cancellations or delays in any of your flights if these are due to adverse weather conditions or rescheduling by the airline itself, the airport authority, and/or air traffic controllers, mechanical failures, or industrial action.

Regarding your itinerary, every effort will be made to reschedule tours so that all of them can be completed as shown in your travel plan, as far as possible. We ask for your flexibility regarding changes to your itinerary due to flight delays. A refund for the missed tour will be evaluated if it is an option. The company is not responsible for missed flights due to personal circumstances and/or customer decisions.

4. No Refund for Advance Payments

If you need to cancel your trip definitively and do so more than one month in advance, we will evaluate the refund of your reservation deposit (70%) minus any expenses incurred to secure tickets to Machu Picchu, trains, hotels, or other items that have been shared with you in advance.

On the other hand, if you do not wish to cancel but need to change the date, the initial deposit may remain as a balance to be used on another occasion within the following 12 months from the scheduled date of your visit, minus the money that has been used to purchase your Machu Picchu tickets, trains, and other items that serve to secure your reservation. In that case, the remaining balance will be the money left over from those purchases.

If you cancel your reservation 1 month (or less) before your scheduled travel date, you will not be entitled to any refund.

5. Transportation to Ollantaytambo Station

Transportation from your hotel to the Peru Rail bus station in Wanchaq or the Inca Rail office on Av. El Sol, where the bimodal buses depart, will be provided by WAYRAKUNA EXPEDITIONS EIRL in private service to ensure that you arrive in time to board this service.

From there, it is the traveler’s responsibility to board the bus indicated by Peru Rail or Inca Rail and to pay attention to their ticket number to board and arrive at the Ollantaytambo station to board their train to Machu Picchu.

In the unfortunate and unlikely event that you miss your bimodal service (bus or van from Cusco to Ollantaytambo), the agency will do its best to provide you with a separate service to help you get to the Ollantaytambo station at an additional cost.

6. About Machu Picchu entrance fees and train tickets

When you plan your trip, and before you make your reservation payment, Wayrakuna Expeditions will check the availability of your tickets to Machu Picchu based on your desired date and time. Once the reservation is made, Wayrakuna Expeditions will purchase your ticket (which is non-changeable, non-refundable, and non-transferable), and we promise to share these tickets with you as soon as possible after confirming your reservation and receiving your deposit. Please note that confirmation of your reservation and payment of your deposit are ESSENTIAL REQUIREMENTS in order to cover this operational expense.

The same applies to your train tickets, which will be shared with you once the purchase has been made and may be subject to schedule changes, but there will be no refunds for trip cancellations. For this reason, it is important to have your dates and travel plans properly verified before proceeding with the reservation and subsequent purchase.

7. Regarding the personal information provided by the traveler

All travelers, when contracting and booking with WAYRAKUNA EXPEDITIONS EIRL, agree to share a photocopy of their personal identity documents such as passport, ID card (in the case of Peruvians), identity card (in the case of members of the Andean Community), and others that may be used for the purchase of their tickets to Machu Picchu, trains, etc. WAYRAKUNA EXPEDITIONS EIRL will keep this information confidential and use it only for accounting and administrative purposes.

For their part, travelers agree to have all their documents, visas, and permits in order before using our services. WAYRAKUNA EXPEDITIONS EIRL is not responsible if travelers do not have this documentation ready at the time of using the reserved services, and this may prevent their entry into the country or access to any of the sites scheduled in their visit.

For this, travelers must take into account that:

– Peru requires that passports used for travel must be valid for at least 6 months. Failure to comply with this requirement may prevent you from entering the country.

– To enter Machu Picchu, you must have the valid ID document that you provided when making your reservation and purchasing your ticket.

– According to current Peruvian law, a person entering the country as a tourist cannot stay for more than 60 days according to their TAM card. Therefore, if a foreign customer traveling on the trip stays in Peru for more than 60 days, they must pay the IGV or General Sales Tax corresponding to 18% of the total cost of their package.

– WAYRAKUNA EXPEDITIONS EIRL does not provide travel insurance, so travelers are advised to carry international travel insurance that they can use in Peru if necessary.

– Travelers must report any pre-existing medical conditions (pregnancy, high blood pressure, diabetes, etc.) or allergies during the booking process so that these can be taken into account before making their travel plans. You should consult your doctor before traveling to Cusco due to the altitude.

– WAYRAKUNA EXPEDITIONS EIRL reserves the right to deny any individual the right to travel or participate in specific tourist activities if their physical or mental condition is considered unsuitable for the trip or poses a risk to themselves or others.

8. Entrance tickets to archaeological sites or natural attractions other than Machu Picchu

When travelers request a tour package from us, they have the option of asking for entrance tickets to archaeological and natural sites, tourist tickets, and other items to be included in their package. Otherwise, they will pay for these separately during their tours with us. What will always be included (unless the traveler has made a prior purchase) is the entrance ticket to Machu Picchu. There will be no refunds for the purchase of these tickets once the purchase has been made.

9. Private and Shared Tours

On group tours, you will share experiences with up to 18 travelers on the different tours we offer. Not all group tours are pet-friendly, but you can check with us in advance to find out which tours are available for this type of service.

Private tours are fully customizable and tailored to your tastes and needs. If you are traveling with pets, we will provide you with all the information you need to access the various archaeological sites and other places you can visit where pets are allowed. Please note that not all archaeological sites allow pets.

10. Tours with pets or emotional support animals

Passengers will be fully responsible for any damage or harm that their pet or emotional support animal may cause during trips, whether in group or private service.

Passengers should be aware that many trips and tours in Cusco involve several hours of transportation, so if your pet is not accustomed to traveling, you should consider it unsuitable for tours in Cusco.

As with our tours, we work with pet-friendly hotels, which have their own terms and conditions when it comes to staying with a pet or an emotional support animal. These must be respected at all times. Otherwise, owners will be held responsible for any damage caused if they leave their pets or emotional support animals in the rooms. It is not permitted to leave your pet in the room without first informing the hotel staff or asking for permission. If you are considering leaving your pet at the hotel during your tours, we ask that you do not bring it with you in the first place.

Only animals with emotional support certificates are eligible for discounts offered by railway companies. When it comes to pets, they will have to pay a separate fee. Kennel and/or size restrictions must also be respected. That is why it is important that you verify your pet’s characteristics, such as weight, size, etc., before booking a tour with us.

If you take walking tours, it is important that you take responsibility for your pet’s waste along the way. Many wild animals are not used to contact with domesticated animals, and this can pose a danger to them. It can also cause the transmission of diseases that are uncommon in these rural areas.

11. Regarding last-minute tour cancellations due to natural factors or political conflict (strikes, protests, etc.)

Wayrakuna Expeditions is not responsible for unfavorable conditions such as strikes, protests, or their consequences, such as road or airport blockades, which prevent the timely arrival or departure of passengers, or natural factors such as river flooding, landslides, torrential rains, etc., which prevent the tours from taking place. We will do our best to make the necessary changes to your itinerary to help it run smoothly, but if a last-minute cancellation occurs due to the conditions mentioned above, WAYRAKUNA EXPEDITIONS EIRL will not provide any refunds as these are circumstances beyond our control. We reserve the right to change or cancel programs due to unforeseen adverse conditions.
